Overview 

JobFile receives information from builders regarding tasks they schedule. This can be accessed in a number of ways depending upon your account level in JobFile;

  • NO ACCOUNT: The first method, which does not require registration, is by just clicking on a link in the call up email from the builder each time a task is scheduled

  • FREE: Registering for a free account enables the supplier to log on to the system and see all of their tasks from a single builder at a time

  • STANDARD: A paid user has the ability to see all their tasks across multiple builders at once and more.

  • MULTI-USER: A multi-user account enables team planning to allocate tasks to team members

  • API: Additional functionality allowing information feeding between systems

What can I do with JobFile?

  • Coordinate your jobs from your clients and easily complete and manage them yourself.
  • View delays on jobs and access the latest information to react quickly to changes and avoid downtime.
  • Report back to your clients instantly and with ease.
  • Meet your deadlines and improve your service by communicating availability, delivery confirmation and schedules directly back to your customers.
  • Avoid payment delays using JobFile to highlight mismatches between your schedule and your customers and automate your follow up to resolve issues in real time. 
 

Email Call-up from the Builder

This requires the builder to have JobFile integration enabled. When a builder sends an email from their ClickHome system for the supplier to do a task on a job, it will create a task in JobFile and then send out an encoded link to the Supplier in the call-up email for that specific task. This JobFile link is highlighted below;

 
  1. Click on the link above link 'Open JobFile to Accept'
  2. The task details screen in JobFile will appear
  3. Follow the 'Using JobFile' instructions below to respond to the builder

NOTE: If you already have a JobFile account the page above won't have the registration information on the right hand side and you will be able to login instead using the 'Login' link.

 

Using JobFile

A. Accept a Task
This is the most frequently used action.
If you are able to do the task on the planned date then you can confirm this with the builder by clicking on the 'Accept' button.
  1.  Click 'Accept'
  2. Click 'Yes.
 

BPropose Alternate Date
This is an optional action.
If you can’t do the task on the planned date then select propose alternate date and request an alternate planned date.
  1. Click the arrow on the Accept button
  2. Select 'Propose Alternate Date'
  3. Choose an alternate date, a reason and a comment then click 'OK'.

C. Reject a Task
This is an optional action.
If you can’t do the task at all (not if you can’t do it on the planned date as there is a propose alternate date option) then you can reject the task.
  1. Click the arrow on the Accept button
  2. Select 'Reject'
  3. Enter a reason and a comment then click 'OK'.
 

D. Change Booked In Date
This is an optional action.
If the builder has given you permission to enter your own booked in date then the booked in date field will be editable.
You can enter a different date and accept the task. It will be automatically booked in.
  1. Select a booked in date
  2. Click 'Accept'
  3. Click 'Yes'


Register for a Free JobFile Account
If you register an account with JobFile then you will be able to;
  • view the task after accepting it 
  • manage your progress 
  • add and receive notes on the task
  • upload attachments 
  • view purchase orders
  • see all the tasks allocated to you for reporting purposes

How?
Click on the 'Register - Free' button from within the task details page and it will take you to the registration page:

The most important field is the email address, ensure you use the same address that has been used by the builders to email you your tasks via ClickHome otherwise your existing tasks won't be linked to your account.
NOTE: If you have multiple email addresses you use then you can merge all of these to your account at a later stage just choose 1 for registration.

  1. Fill in your details
  2. Click 'next' 
  3. Read the Terms and Conditions and then tick the check box.

 
The system will then generate a confirmation email to the email address entered.  
     4. Click 'Verify' to complete the registration process.  

After registering with JobFile you can access all of your tasks, these are some of the functions you will now have:

A. Update & Progress a Task :
If you have registered an account you will be able to now edit the task to record:
    1. Started date;

    2. Due date;

    3. Progression of task via the slider bar;

    4. Completed date;

    5. Task Reference number of your own; and
    6. Task Supervisor from your company

Depending what your level of access is you will also be able to view and upload attachments, view and add notes for yourself or notes for the builder and print the task details.

With future functional development you will also be able to view the calendar, see the job on a map, get directions and much more.


B. Record a Job Not Ready:
This function enables the supplier to indicate to the builder that they have been called up to a job however when they attended site the job was not ready for them to commence work.
After clicking on the 'Job Not Ready' button, the following popup appears and you can select from a list of reasons as to why the job was not ready and then write a comment.
 
This information helps all parties by recording that there was an issue with the planning, the site progress or condition of site which prevented you from doing the work as specified.  
Long term it will help with performance measurement and reporting on efficiencies and may assist the builder with improvement of scheduling processes and procedures.
